About the role:

Reporting directly to the Director of Marketing & Innovation, the Marketing Executive Assistant takes responsibility for a number of executive, administrative, and marketing related tasks and projects. This position must be extremely organized, agile, whip-smart, and proactive working in a dynamic industry. Acting as an extension of the executive, sensitive information must be kept confidential and decisions are to be made with sound judgment in the solution of problems or pursuit of business opportunities.

In particular, the essential functions of this role will focus on:

  • Coordinate internal and external meetings by preparing materials for executive, reserving conference rooms, arranging AV equipment needs, coordinating catering, sending agendas, recording notes, and distributing follow up reports.
  • Manage requests for the executive's time and attention by proactively managing a complex calendar, scheduling meetings and arranging appointments, taking into consideration both personal and professional overlap while ensuring key issues and matters are effectively addressed.
  • Track department cash flow and budgets by reconciling expense reports and acting as a proxy to approve invoices.
  • Plan and execute travel arrangements, always taking cost, time, and employee logistics into consideration.
  • Respond to internal and external phone and email requests on behalf of the executive.
  • Distribute department communications, written and verbal, regarding internal and external organization announcements via office bulletins, distribution lists, productivity platforms, and oral communication.
  • Analyze data sets to support strategic marketing decisions through illustrative reports in critical executive and department presentations.

Additional supporting activities include:

  • Acclimate new hire employees with informal face to face introductions to the company, assisting with computer and workspace environment needs.
  • Order supplies for department.
  • Carry out personal and business task based requests as needed.

Experience and Education:

  • Experience providing administrative and/or executive assistance.
  • Knowledge of food & beverage industry and passionate about health & wellness is a plus.
  • Bachelors/Associate degree in related field.

Skills and Qualifications:

  • Fluent and adaptable to office document processing applications, team collaboration tools, and project management softwares.
  • Both analytic and creative abilities to self-start, plan, present and execute projects independently with littler supervision or direction.
  • Organized and detail oriented, yet flexible to balance daily responsibilities and ad hoc requests.
  • Excellent communication skills in all mediums, with the ability to maintain confidentiality and exercise discretion.
